Record Storage - Long-term
There are always options on how to solve the long-term storage of records to meet the State Records Act requirements.  The options are:
  1. Paper form - in archive boxes at storage facility
  2. Electronic - in an unchangeable format (TIF, PDF-image, PDF-A) on hard disk, CD, DVD, or tape.
  3. Microform - as microfiche jackets for DAs & Minutes, aperture cards for plans, and 35mm microfilm for old rate and valuation books.

The majority of Council's select the paper form. With larger Councils it is the electronic form for any new documents (DAs, Minutes, Contracts, etc) though they keep the historical records as paper.  No-one wants to allocate the funds to digitise the backlog of DAs or Minutes.  Yet these Councils tend spend in excess of $30,000pa on retrieving information from the storage facility.

Storing the paper documents at a facility that offers scan-on-demand service easily solves the problem.  Instead of receiving an archive box you receive an electronic file that can be imported into your EDRMS system for retrieval in the future.
